RingCentral and Mobile Phone Allowance Policy
Purpose
The purpose of this policy is to provide guidelines and define who is eligible for a RingCentral account and/or a monthly mobile allowance.
Definition
A RingCentral account is a fully licensed account with access to all of the features of the application as well as the use of an optional desk phone.
The KCAI mobile allowance, in the amount of $50.00 per month, is provided via direct deposit to the employee’s bank account.
Scope
This policy applies to eligible full time faculty and staff.

Determination of Eligibility
All full time employees are eligible to receive a KCAI RingCentral account, which includes access to a desk phone and extension, as well as the RingCentral application which provides access to calling, virtual meetings, SMS, and fax. RingCentral accounts are provisioned and managed by Campus Technology.
Mobile Allowance
Determination of Eligibility
Employees in positions which require frequent off-site or after hours (before 8:30 am or 5:00 pm) communication are eligible for a mobile phone allowance as approved by the department manager and area VP.
The decision to provide an allowance will be based on operational requirements and the necessity of uninterrupted communication and will be determined by the department manager and HR based on job requirements and the extent of work-related mobile usage.
The mobile allowance will be a fixed amount of $50.00 per month..
Employees receiving a mobile allowance are responsible for maintaining a suitable personal mobile phone that meets their work-related needs.
The employee must submit valid and itemized mobile expense reports to receive the mobile allowance.
Guidelines for Appropriate Use
Employees should exercise responsible use of mobile devices, ensuring that personal use does not compromise work productivity, confidentiality, or security.
All communication made through company-provided mobile phones or personal devices for work-related matters should follow company policies and guidelines, including professional and respectful conduct.
Employees should comply with data protection and privacy regulations when using mobile devices to access, store, or transmit sensitive company information.
Compliance and Security
Employees must comply with all relevant company policies, procedures, and guidelines regarding the use of mobile devices.
Employees must promptly report any security or privacy concerns regarding mobile devices to Campus Technology and/or their manager.
