Account and Digital Data Retention
Purpose
This policy aims to define the timeframe and means by which KCAI Campus Technology (“CT”) will maintain and archive the user account and digital data generated by former KCAI employees.
Definition
“User Account” refers to the account that KCAI employees use to log into the various authenticated digital services provided by CT.
“Digital data” refers to any data generated using or stored on KCAI managed systems such as Google Workspace (Drive, Gmail, Docs, Sheets, etc.), Microsoft OneDrive, KCAI-owned computers, or servers.
“KCAI Employee” refers to part-time staff, full-time staff, adjuncts, full-time faculty, and consultants or employees of contracted organizations if said data was generated on or stored on KCAI managed systems on behalf of the college.
Scope
This policy covers all digital data generated by KCAI employees and stored on KCAI owned or leased systems and media, regardless of location. It applies to all data collected and held electronically. Federal or local law, federal regulations, and legitimate business purposes may mandate the need to retain certain information.
